Estate and Building Managers

Where our office buildings are multi-let, our Building Managers operate the buildings to meet occupiers' needs. For occupiers who lease entire buildings on one of our larger estates our Estate Managers operate the estate as a whole to meet their needs.

Our Estate/Building Managers undertake regular dialogue with occupiers to develop and maintain positive relationships so that we can adapt our service to meet their changing business needs.

They manage our service partners to ensure our properties achieve excellent service standards, providing occupiers and their visitors with a safe, secure, clean and well maintained environment. They also operate tight financial controls and monitor expenditure closely to achieve value for money.

What our Estate and Building Managers do

Building management

  • Monitor building and estate common areas to ensure they are well maintained, clean, safe and secure.
  • Establish and implement health, safety, fire and emergency procedures and safe working practices.
  • Manage water treatment and air and water quality monitoring.

Management of the team

  • Management, induction, training, and general welfare requirements for security, cleaning, landscaping and engineering teams.
  • Coordinate the activities of maintenance contractors.
  • Manage contractor performance through the use of service specifications, service level agreements, inspections and service reports.

Occupier liaison

  • Regular liaison with occupiers through personal contact.
  • Managing the property to meet occupiers’ needs.
  • Undertake feedback surveys on the performance of the property management team.
  • Develop action plans to improve our service.

Service charge management

  • Prepare annual building service charge budget packs, consulting with occupiers on their priorities.
  • Use regular management accounts to monitor expenditure and ensure that the service charge is managed closely to reduce anomalies.
  • Respond promptly to occupier enquiries.

Procurement

  • Undertake contract tenders to deliver value for money.
  • Prepare planned preventative maintenance schedules and long term costing plans.

Property records maintenance

  • Process occupier licence applications in conjunction with the professional team.
  • Monitor occupier compliance with leases.
  • Maintain property records for health and safety, fire safety, access equipment log books etc.
  • Maintain key events log for the property records.

Project Management

  • Management of property installation and replacement projects as part of the long term planned maintenance regime.
